Office Administrator

Venatu Recruitment Group are currently working in partnership with our client in recruiting an Administrator on a temporary basis ongoing for 3 months, The Administrator will be reporting to the Executive Assistant and the purpose of the role is to manage facilities, assist with daily running of the office and liaise with staff suppliers and clients.

  • Daily running for the office
  • Liaising with building manager, staff, suppliers and clients
  • Printing Facilities – manage, arrange and maintain all printing facilities dedicated to the Alliance which includes paper supply, printing repairs and ordering cartridges
  • Office Onboarding Process – Datascope enrolment, meeting room calendar, office inductions
  • Project Directory – maintain business directory and internal contacts list
  • Building Management - Reporting maintenance. All lighting to be checked and report any light failures to electrician
  • Stationary – responsible for purchasing and control of stationary required to support the defined process
  • Raising requisitions and liaising with procurement, specific to site office
  • Booking Meeting Rooms and coordinating calendars, working with the Receptionist to ensure there are no clashes / overlaps
  • Kitchen – check provisions and stock levels managing milk / sundries orders (office supplies)
  • Information display – Ensure various notice boards are maintained and up to date
  • Managing databases
  • Ordering office furniture (where required), assisting with installations (logistics) and equipment maintenance
  • Dealing with correspondence and queries
  • Supervising and delegating tasks to Reception
  • Implementing and maintaining office procedures e.g. movements board and maintaining desk plan
  • Liaising with H&S manager reporting any issues, ensuring weekly fire inspections take place and office related close calls are escalated
  • Liaising with IT manager occasionally to resolve issues when required (i.e. power shutdown


  • Previous experience in an administrative role in fast pace office environment
  • Strong experience of Microsoft software package suites
  • Good interpersonal and time management skills
  • Able to demonstrate problem solving skills
  • Evidence of keen attention to detail
  • Reliability and adaptability
  • Communication, negotiation and relationship-building skills
  • Skilled at gathering and organising large volumes of data/information (e.g. database management)
  • Proactive approach and ability to work autonomously
  • Previous experience in report writing
  • Extensive experience in a customer service position
  • Experience in assisting project management


  • 8.30am – 5pm Monday – Thursday 8.30am – 4pm Friday
